How do I invite members to a Padelio crew?
Last updated 2026-05-10
Open the crew's Members tab and tap Invite. Pick Search to find an existing Padelio user by name, or Email to send a sign-up link to someone who isn't on Padelio yet. Choose the role they'll have if they accept (Staff / Manager / Admin). Pending invites count against the member cap.
Two ways to invite
Padelio crews don't have a public, link-based join flow — there's no shareable URL with a token that anyone can use to join. Instead, invites are directed: each invite targets a specific person (a Padelio user, or an email address) and tracks whether it was accepted, rejected, or revoked.
1. Search by name (existing Padelio user)
The most common path. From Crew → Members → Invite, tap Search, type the person's name, and pick them from the suggestions. Choose the role you're inviting them to (Staff / Manager / Admin) and tap Send invite. They get a notification and can accept from their notifications panel or from the crew page.
This path requires the recipient to already have a Padelio account.
2. Email invite (new to Padelio)
If the person you want to invite isn't on Padelio yet, tap Email, enter their email, pick the role, and tap Send. Padelio emails them a sign-up link. Once they create an account using that email, the invite is matched to their new profile and they can accept.
If they sign up with a different email than the one you invited, the invite won't auto-attach — you'd need to send a new search invite once they exist.
Pending invites
Invites stay pending until the recipient accepts, rejects, or you revoke them. From the crew's Members tab you'll see two sections:
- Active members — people who have joined.
- Invited — pending invites, each with the invitee's name (or email), the role they were invited to, and when it was sent. Tap any to Revoke.
Pending invites count against your member cap. If you've hit the cap and want to invite more people, either upgrade your plan or revoke older invites first.
Member caps
Member caps come from the Owner's Crew subscription:
- Crew — up to 3 members per crew (including the Owner). The Owner can run 1 crew.
- Crew Pro — up to 10 members per crew (including the Owner). The Owner can run 3 crews.
- Club / Club Pro — larger caps are planned for the dormant Phase 2 release; not currently available for purchase.
Free accounts can't own a crew at all (the create flow is paywalled), but they can join a crew that someone else owns — that's always free.

FAQ
- Can someone join a crew without a Padelio account?
- No — joining a crew requires a Padelio account. If you invite by email and they don't have an account yet, the invite stays pending until they sign up (Google, Apple, Telegram, or email magic link), at which point they can accept it. Tournament and league guests are different — see those hubs.
- Do invitees need their own paid subscription to join?
- No. Joining a crew is always free. The Owner's Crew or Crew Pro subscription covers the whole crew — every Admin and Manager can create Pro tournaments, leagues, and communities under the crew using the crew's plan. Only the Owner pays. See [crews/subscription-upgrade](/docs/crews/subscription-upgrade).
- What roles can I assign at invite time?
- When you send the invite, you pick the role the invitee will have if they accept — Staff, Manager, or Admin. The Owner role can't be assigned via invite (it transfers separately). The default in the form is Staff. The role takes effect when the invite is accepted; you can promote/demote later from the members tab.
- How do I revoke an invite that hasn't been accepted yet?
- Open the crew's members tab, find the pending invite under the **Invited** section, and tap **Revoke**. The invite stops working immediately. Pending invites count against the crew's member cap until they're either accepted, revoked, or rejected.
- What's the maximum crew size?
- On the Crew tier, **3 members including the Owner**. On Crew Pro, **10 members including the Owner**. The free tier doesn't allow crew ownership at all. Pending invites count toward the cap.
