Crew roles and the capability matrix — who can do what?
Last updated 2026-05-09
Four roles — Owner, Admin, Manager, Staff — in descending privilege. Only the Owner pays for the subscription; every other role can use the crew's Pro features for free as long as they're a member. Admins manage members and branding, Managers create tournaments / leagues / communities under the crew, Staff can see and operate the crew but can't create things.
The four roles at a glance
| Role | Privilege level | What they're for |
|---|---|---|
| Owner | 4 (highest) | The crew's billing contact and final decision-maker. Exactly one per crew. |
| Admin | 3 | Co-organisers who manage members and branding. Multiple allowed. |
| Manager | 2 | Event leads who create tournaments, leagues, and communities for the crew. |
| Staff | 1 (lowest) | Helpers who see and operate the crew but don't create new events. |
Roles are inclusive — Admin can do everything Manager and Staff can, Manager can do everything Staff can, and so on.

Subscription scope — only the Owner pays
This is the single most-asked question, so it gets its own section:
The subscription belongs to the crew Owner, not to each member. Once the Owner has a paid plan (Crew, Crew Pro, Club, or Club Pro), every Manager and Admin in that crew can create Pro tournaments, leagues, and communities under the crew without their own paid plan. They simply pick the crew in the Host as selector when creating an event, and Padelio applies the crew's plan automatically.
The same applies to branding, larger participant caps, and any other Pro feature: members consume it via the crew, never via their personal subscription.
If a Manager creates a tournament under their own profile (not the crew), then their personal subscription tier applies — that's a separate flow. The crew's plan only kicks in when the event is hosted by the crew.
When billing changes hands via ownership transfer, the new Owner takes over the subscription too — confirm payment details after the transfer.
Promoting and demoting
From the crew's Members tab:
- The Owner can promote anyone to Admin or demote Admin → Manager / Staff.
- Admins can change Staff ↔ Manager for any non-Admin member.
- Nobody can change their own role.
- The Owner's role cannot be changed at all (use transfer ownership instead).
Promote a member: tap the member → Change role → pick the new role.
Demote a member: same path; pick a lower role.
Transferring ownership
From Crew settings → Owner, the current Owner taps Transfer ownership, picks any active member, and confirms. The selected user must accept the transfer (a notification appears). After acceptance:
- The previous Owner becomes an Admin automatically.
- The new Owner inherits billing, deletion rights, and exclusive Admin-management privileges.
- The crew's subscription stays attached to the crew — the new Owner takes over the payment method (re-enter card details if needed).
- The transfer can't be reversed without another transfer.
Ownership transfer is the only way for the original Owner to leave the crew.
What if the Owner deletes their account?
Padelio blocks account deletion while you're the sole Owner of any crew. The deletion flow shows a list of crews you own and asks you to either:
- Transfer ownership of each crew to another active member, or
- Delete the crew entirely.
Once you've done that for every crew you own, account deletion proceeds normally.

FAQ
- How many roles does a crew have?
- Four — Owner, Admin, Manager, Staff. The Owner sits at the top with billing and deletion rights; everyone else is a regular member of one of the other three roles.
- Does every crew member need their own paid subscription?
- No. Only the Owner pays. Once the crew is on a paid plan, every Manager and Admin can create Pro tournaments, leagues, and communities under the crew using the crew's plan. Members never see a paywall for crew actions.
- Can a crew have more than one Owner?
- No — there's exactly one Owner. Promote trusted users to Admin to share day-to-day responsibility. Ownership can be transferred to one other person, but only one person holds it at a time.
- What happens to the crew if the Owner deletes their account?
- Padelio blocks account deletion while you're the sole Owner of any crew. You either transfer ownership first or delete the crew, then your account can be deleted.
- Can Admins remove the Owner?
- No. The Owner's role cannot be changed by anyone else, and they can't be removed from the crew. Ownership leaves only via a voluntary transfer.
